This Privacy Policy describes how StyleMatch (“we,” “us,” or “our”) collects, uses, shares, and safeguards information when you use our websites, mobile experiences, and related services (the “Services”). It applies to customers booking appointments, to professionals and salon teams managing their studios on StyleMatch, and to anyone who interacts with our public marketing pages.

By using the Services, you acknowledge that you have read this policy. If you do not agree with any part of it, please do not use the Services.

We collect information in three ways: information you give us, information we collect automatically, and information from third parties you connect to your account.

• Account information. Name, email address, phone number, password hash, profile photo, date of birth (where required), and the role you sign up under (customer or professional).
• Studio & business information. For professionals: studio name, locations, services, working hours, KYC documents (passport photo, government-issued ID), staff invitations, and team role permissions.
• Booking & transaction information. Appointments, service history, customer notes, payments, refunds, and reviews.
• Communications. Messages you send to support, feedback you submit, and email notifications you receive from us.
• Device & usage information. IP address, browser type, operating system, pages viewed, referring URL, and timestamps. Collected through cookies and similar technologies described in our Cookie Policy.

We use the information we collect to:

• Provide, maintain, and improve the Services, including bookings, payments, and studio management tools.
• Authenticate your account, secure it, and prevent fraud or abuse.
• Send transactional emails (booking confirmations, KYC status, password resets, staff invitations).
• Respond to support requests and feedback.
• Verify the identity of professionals through KYC review.
• Understand how the platform is used so we can prioritise improvements.
• Comply with legal obligations and enforce our Terms of Service.

Where applicable law requires us to identify a legal basis for processing personal data (for example, under the GDPR), we rely on one or more of the following:

• Contract. Processing necessary to provide the Services you have signed up for.
• Legitimate interests. Improving the platform, preventing fraud, and communicating with you about your account.
• Consent. For optional features such as analytics or marketing communications, where you have opted in.
• Legal obligation. Where we must process information to comply with applicable law.

We share information only in the limited circumstances described below.

• With professionals you book. When you book a service, the professional sees the information needed to deliver it (name, contact details, the service requested, and any notes you provide).
• With studio teams. Professionals can invite staff to their studio. Staff receive access to bookings and customer information for that studio, scoped by the role permissions assigned to them.
• With service providers. Trusted vendors that help us run the platform (hosting, email delivery, image storage, analytics) under contracts that require confidentiality and limit use to providing the service.
• For legal reasons. When we believe in good faith that disclosure is required by law, regulation, or valid legal process, or to protect the rights, property, or safety of StyleMatch, our users, or the public.
• In a business transfer. If StyleMatch is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction; we will notify affected users where required.

We do not sell your personal information.

We retain personal information for as long as your account is active and for a reasonable period afterwards to comply with legal, tax, accounting, or reporting obligations.

When you delete your account, we anonymise your personal data while preserving the underlying record so that bookings, transactions, and reviews remain consistent for other parties (for example, the studio that served you). Anonymised records can no longer be linked back to you.

Depending on where you live, you may have rights under applicable data protection laws (such as the GDPR, UK GDPR, or comparable regimes), including:

• Access to the personal data we hold about you.
• Correction of inaccurate or incomplete data.
• Deletion of personal data, subject to legal exceptions.
• Restriction of, or objection to, certain processing activities.
• Portability of the data you provided to us in a machine-readable format.
• Withdrawal of consent for processing that relies on consent.
• Lodging a complaint with your local data protection authority.

We use technical and organisational measures designed to protect personal information, including encrypted transport (HTTPS), hashed passwords (Argon2id), least-privilege access controls, and regular review of our infrastructure. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security; we encourage you to use a strong, unique password and to keep it confidential.

StyleMatch is operated from servers and offices that may be located in different countries. By using the Services, you understand that your information may be transferred to and processed in countries other than your own. Where we transfer personal data internationally, we use appropriate safeguards as required by applicable law.

The Services are not directed to children under the age of 16, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.

We may update this policy from time to time. When we do, we will update the “Last updated” date at the top of this page and, where the changes are material, take additional steps to notify you (such as an email or in-product notice). Continued use of the Services after changes take effect means you accept the updated policy.
